Chapter 34. Company Representative Signup

Overview

If your company (i.e., company, academic institution, government bureau, etc.) is a member of the organization, use the Company Representative Signup form to apply for an account on the organization's web site.

The signup process may include forms that display buttons or checkboxes you must click to indicate agreement with the organization's terms and conditions or other prerequisites. You may be required to use a company email address. The organization may send applications for moderation rather than approving them automatically at the time the form is submitted online.

When you have completed the application and clicked the submit button, a confirmation page displays the status of your application and provides information about what happens next in the application process. You should bookmark the confirmation page because it always displays the real-time status of your company membership.

Once your application is approved and your account is activated, a login link and instructions is emailed to your primary email address. The login link provides one-time login permissions. When you click the link you are taken to a secure web page where you can set the password you will use to login from now on. Your username may also be edited. Make a note of your username and pasword, since you will need them the next time you login.

How to Signup for a Company Representative Account

Personal Info

The company representative application form is displayed. You may be asked to select your company or you may be matched with your company based on your email address domain (if this is the case, you must enter a company-issued email address that takes the form 'user.name@example.com' where 'example' is a domain that belongs to your company). Enter your name and contact information, and set any privacy preferences that might be available. When you are done, click Submit Application.

Remember that your company needs to have a current membership in the organization for you to receive an account. If the company's membership application hasn't been approved yet, you won't be able to signup.

Many of these fields are self-explanatory, those that may not be include:

Company

Depending on the organization, you may be asked to select your company from a list or enter the name of your company via a text box if it is not in the list. If a list or text box is not displayed, you will be matched with your company based on your email address. Be sure you enter your company-issued email address in the 'Primary Email Address' field.

Personal Info

Enter the user's name and title exactly as it should appear on the company roster (depending on your organization's privacy policy and the user's privacy preference settings), in any KaviŽ Groups in which the user participates and other dynamic lists.

Primary Email Address

Enter the email address where you want to receive your login link and other organization email. Make sure the address is correct since login instructions are sent to this address when your account is activated.

Note

Many organizations enforce accepted domains during the signup process, requiring you to enter a company-issued email address. If you encounter difficulties during the signup process and are certain that your company's membership is current, it is possible that your email address domain isn't on the list of accepted domains. Double check the email address you have entered. If you are sure it is correct, send an email to the address listed in the error message.

Preferences

Available privacy preference options depend on your organization's policies and web site configuration.

The following options may be available:

Receive Members Email

If set to 'Yes, send general members email', all the usual email from the organization site is sent to this user. If set to 'No, do NOT send general members email', this user is unsubscribed from the members@(your site domain.org) email list and may be excluded from other email generated through the site's mailing lists and the 'Send Template-Based Email' tools.

Note

KaviŽ Groups messages go out to designated recipients on group rosters independently of this setting and some organizations have 'members-announce' lists through which they distribute mandatory announcements that do not respect this setting.

Privacy Option

If set to 'Yes, share information', user information will be displayed on the roster.

If set to 'No, do NOT share information', this user's information or entire account can be hidden, depending on the site configuration. Selecting this setting has the following effects:

  • Removes (or partially hides) this user from a roster of people from the same company available to this company

  • Removes (or partially hides) this user from membership rosters and directories

  • In Kavi Groups, sets 'Display my address and phone number in addition to my name and email address' to 'No'

Done

When you have completed the application form, a status page display the current status of your application and provide you with information about the next steps in the application process. You can bookmark this page for future reference. If the organization moderates the company representative signup process, your application is sent to a moderator for approval, so your account won't be activated immediately. Once your application is submitted, approved and activated, an email with a login link and further instructions is sent to your primary email address. The link provides one-time login privileges—so click the link to login and set your password and edit your system-assigned username as desired. Once you've set your password, use it the next time you login to the site and access tools used to manage your account information.
